Building the Business Case for a Managed Dispensary Email Program

Flowering cannabis plant in warm sunlight.

A dispensary email program business case should explain why the business needs the work and who will be accountable for it. Declaring email the most trusted channel does not answer those questions. Neither does quoting a return achieved by an unrelated business.

Begin with the operating problem. Is account maintenance falling between roles? Does creative production compete with other priorities? Are reports difficult to interpret? A specific problem makes it easier to judge whether managed support is an appropriate investment.

Describe the work before choosing the arrangement

List recurring responsibilities: planning, source collection, creative development, review coordination, approved account work and reporting. Then identify occasional responsibilities such as cleanup, documentation and handover. Separate tasks the agency can perform from decisions that the business must retain.

Estimate the internal time required even with outside support. Someone still needs to supply accurate business information, resolve feedback and approve work. Delegation can redistribute effort; it does not eliminate the need for an accountable owner.

Keep account ownership explicit

Document which business entity controls the account, who maintains administrative access and where operating records live. Agree on how authorized access will be managed during onboarding and offboarding. Avoid making the program dependent on an individual’s personal account or undocumented knowledge.

Keep subscriber data, brand assets and working documents within the agreed access boundaries. An agency relationship should make responsibility clearer, including what happens when the engagement changes or ends.

Evaluate the proposed scope

  • Which deliverables are included, and what constitutes a completed deliverable?
  • Which inputs and approvals must the client provide?
  • What account issues need a separate cleanup scope?
  • How will changes, additional work and unresolved dependencies be recorded?
  • What reporting will be available, and what cannot be established from it?

Use these questions to compare actual working arrangements rather than broad promises. A narrower scope with clear ownership may be easier to assess than a large list of loosely defined activities.

Set a review point

Decide when the business will review the arrangement and what evidence it needs. Include delivery quality, internal workload, account visibility and the limits of financial reporting. Avoid judging the engagement solely by a single campaign number.
