Email list hygiene is a record-management responsibility, not a guarantee of higher revenue. For cannabis teams working in AIQ, the useful starting point is whether the business can explain where records came from, which exclusions apply and what evidence supports a proposed change.
Keep the review separate from a broad delivery diagnosis. A list decision may be warranted without establishing the cause of a delivery issue, and an improved percentage after removing records does not by itself prove better business performance.
Establish the available evidence
Inventory the relevant data sources and record definitions. Identify where permission information, unsubscribe history, delivery events and other available activity are maintained. Note gaps and disagreements between systems before proposing a cleanup rule.
Do not guess the history of an imported record. If the team cannot establish the basis for its intended use, route the issue to the responsible business owner for review.
Preserve exclusions and decision history
Plan changes so that existing unsubscribe and suppression information remains effective. Avoid indiscriminate deletion that removes the evidence needed to honor a person’s choices or lets an excluded record return through another import.
Document the rule being applied, the affected records, the reason and the approver. Confirm the authorized account procedure before implementation. Retention or deletion questions should follow the business’s applicable policy and review process.
Review inactivity with more than opens
A missing recorded open is not enough to establish that someone is inactive. Review other available evidence, such as replies, clicks or relevant business activity, while documenting the limits of each source. The open-rate interpretation guide explains why recorded opens need special caution.
Define the observation period and the decision the evidence supports. Do not turn an arbitrary time window into a universal rule for every account. Where the evidence is incomplete, label the decision as requiring further review.
Measure what changed
Keep a before-and-after record of the reviewed population, exclusions and reporting definitions. Separate changes in the denominator from changes in observed activity. Check whether imports or connected processes reintroduce records contrary to the approved decision.
List hygiene is ongoing work with a named owner, not a one-time purge. Use the email account and delivery guide for related investigation questions. To discuss record quality and cleanup boundaries in your account, request an audit with the specific issues your team needs to resolve.
