January can be a convenient point to review an email program, but there is no need to wait for a particular month. This checklist retains the original new-year planning angle while focusing on the records a cannabis business and its agency need to understand an AIQ account and its operating workload.
An audit should establish the current state, identify evidence gaps and prioritize follow-up work. It should not imply that every issue can be fixed during the review or that a checklist proves compliance or financial performance.
Start with ownership and scope
Identify the business account owner, authorized users and the person who approves changes. List the account areas included in the review and any exclusions. Confirm where approved creative, reporting exports and operating documents are stored.
Separate inspection from implementation. Record proposed changes for review rather than treating access to an account as permission to modify every setting or record.
Review audience and workflow records
Check whether the team can explain the sources of audience records, the available permission information and the handling of exclusions. Note missing documentation without inventing a history for records whose origins are uncertain.
Inventory ongoing workflows and identify their business owners. Record the latest review date, unresolved questions and any dependency on another team. Focus on whether the setup is understandable and accountable before recommending additional work.
Inspect the production process
- Can a reviewer trace a finished asset to its approved brief?
- Are required facts and brand references available before production starts?
- Is there a single final approver?
- Are changes after approval recorded and reviewed?
Use a sample of recent work to answer these questions. Avoid general conclusions based on one unusually smooth or difficult assignment.
Check the reporting agreement
List each report, its source and its intended decision. Confirm that definitions, dates and costs are documented. If the team cannot reconcile a number, preserve the discrepancy as an open question rather than choosing whichever figure looks stronger.
Produce a prioritized findings list
For each finding, state the evidence, business effect, proposed next action and responsible owner. Distinguish a confirmed issue from a question that needs investigation. Use capacity planning to keep the action list realistic.
For a symptom-led investigation, see the email diagnostic guide. To discuss a review of your own account, request an audit and identify the questions you want it to answer.
