One confirmed business update may affect several channels, but it should not become an automatic instruction to publish everywhere. A coordination plan helps a cannabis business and its agency decide which assets are necessary, who owns them and which approvals remain outstanding.
December is a useful setting for this process because operating details and team availability may change. The method applies whenever several teams reuse the same source material.
Create one source record
Start with a verified operational update, organizational announcement or approved reference. Record its owner, effective date, supporting material and the destinations affected. If facts change, that record should make it possible to identify the assets needing review.
Keep claims, quotations and photographs tied to their approval evidence. Do not assume that permission for one use authorizes every format or channel.
Give each proposed asset a separate job
- State what information the asset needs to communicate.
- Explain why the chosen channel is appropriate for that purpose.
- Identify the owner responsible for producing and publishing it.
- Record the account, audience and channel-specific review required.
- Remove a proposed asset when it adds no necessary information.
An email may contain the full approved explanation while another asset points to the same current reference. The plan should still assess whether that second communication is needed, eligible and within scope.
Do not transfer approval between channels
Approval of email copy does not establish SMS eligibility, recipient permission or suitability for a social platform. Assign those checks to the relevant account owner. If a channel cannot support the intended use, revise the plan rather than disguising content or routing around a restriction.
Shortening a message can remove qualifications or change its meaning. Review each adaptation with the source record open, including its linked destination and imagery.
Track versions and combined activity
Use a shared register with asset name, version, channel, owner, review status and scheduled date. Record automated communications alongside planned work where the responsible team has that visibility. Avoid claiming a complete view when some channels are managed elsewhere.
For deadlines, backup approvers and holiday coverage, use the December production plan. For internal briefing structures, use the winter creative brief templates.
Keep the service boundary explicit
Hiigher supports managed email and SMS, retention, creative and account cleanup within the agreed scope. Broader social media management is not part of the current packages. A request for social publishing, moderation or other channel work needs a separate scope discussion rather than an assumption that it is included.
Review Hiigher’s services before assigning deliverables. A useful coordination plan ends with named owners, approved facts and clear handoffs, even when different teams handle different channels.
