Dispensary Marketing Operations: Finding the Broken Handoff

Close-up of dense cannabis flowers in warm golden light.

Editorial perspective: The situations below are diagnostic examples, not findings from a published owner survey or claims about results Hiigher has achieved. They provide a practical way to examine marketing work that feels busy but remains difficult to manage.

When an owner says marketing is taking too much time, adding another campaign may miss the problem. Start by following one piece of work from request to report. The points where responsibility becomes unclear are often more actionable than a broad debate about strategy.

Follow the brief

Identify who requested the work, what information they supplied and how the production team decided it was ready. If the brief changed during production, record what changed and who approved the revision. Avoid treating all rework as a creative problem when essential inputs arrived late.

A useful brief names the business purpose, source material, required reviewers, final approver and delivery requirement. It also records exclusions. That last section helps prevent an email assignment from quietly becoming unrelated website, social or operational work.

Follow the approval

Look at where feedback was delivered. If several people commented in different places, establish a single record for the next round. Ask the business to resolve conflicting directions before production resumes.

Distinguish factual approval, brand review and any specialist review the business requires. One person may coordinate them, but the final sign-off should make clear which version was approved and whether any conditions remain outstanding.

Follow the report

Check whether the report answers the original brief. A production summary, a channel activity report and a financial assessment are different deliverables. Decide which is needed and whether the available data supports it.

When figures disagree across systems, preserve the definitions and investigate the discrepancy. Replacing uncertainty with an attractive summary number makes the next planning conversation harder.

Repair one handoff at a time

Choose a specific change, assign an owner and define how the team will know it helped. Examples include consolidating feedback, requiring complete source material before design begins or attaching reporting definitions to the monthly review. These are operating improvements, not revenue guarantees.

For a structured way to rank the resulting workload, use the five-part capacity assessment. Hiigher’s services provide context for delegated account and production work. An audit request can help start a scoped discussion about account cleanup, reporting gaps and the responsibilities that should remain with your team.
